Arabian Nights Summer Ball

The Brief
The Federation of Piling Specialists approached us to deliver their annual Summer Ball that would stand apart from traditional corporate events. The key objectives were to:
- Create an immersive themed experience for 200+ FPS members, partners and industry guests.
- Offer memorable entertainment and styling outside of the standard “conference/black-tie format.”
- Ensure smooth logistics and guest flow.
- Source and confirm sponsorship to enhance the event experience and menu.
- Coordinate the marketing and promotion of the event to ensure strong ticket sales.
- Manage the event set up, delivery and post-event analysis.
Our Role
After discussing the event with FPS Chair, Malcolm O’Sullivan, we proposed an Arabian Nights theme, which would provide a vibrant and immersive setting, whilst also being versatile enough to incorporate entertainment, décor, and catering which would tie into the theme.
We sourced specialist suppliers to bring the vision to life, focusing on:
- Theming & Styling: Life-size camels, palm trees, Aladdin lamps, draping, and coloured linen transformed the Brooklands Suite into a magical oasis.
- Entertainment: Belly dancers with interactive workshops, world-class magicians, henna artists, a Zoltar fortune teller, authentic Arabian band, and camel roll-a-ball games.
- Catering: Arabian-inspired cocktails and canapés during a garden reception, followed by a three course themed meal.
- Guest Experience: A carefully structured event flow from reception to after-dinner entertainment ensured high engagement throughout the evening.
Event Highlights
- A private entrance led guests directly into the transformed Brooklands Garden and Suite.
- Bold, creative theming took centre stage, offering a refreshing change from the usual conference setting.
- Middle Eastern spice favour tins for every attending guest.
- Bespoke themed cocktails based on typical Persian ingredients including rose, lychee and mango.
- Themed bespoke menu include flat breads with hummus, Harissa spiced pulled lamb shawarma, coconut & tahini fudge and traditional pistachio baklava.
- Themed entertainment for attending guests including roving magicians, bespoke henna mandalas, branded camel roll-a-ball, a belly dancing masterclass and a Zoltar fortune teller with bespoke fortunes.
- Seamless collaboration with over a dozen suppliers and sponsors, ensuring every detail was delivered to brief.
Results & Feedback
The FPS Arabian Nights Summer Ball received overwhelmingly positive feedback from guests and sponsors. Highlights included:
